CAIR San Francisco Bay Area is looking for a passionate, experienced individual to fill the Programs Manager position. The Programs Manager will execute and oversee our signature annual programs, facilitate regular workshops, develop new programming in coordination with the legal and advocacy team, and support our Programs Coordinator.

Title: Programs Manager

Reporting Relationships: Reports to Executive Director, Supervises Programs Coordinator

Schedule Type: Full-time (Exempt). Occasional evenings and weekends required.

Location: Based in CAIR’s Santa Clara office. CAIR staff are currently working a hybrid schedule, with three days in-person and two days remote. Requires some travel throughout the Bay Area (vehicle and driver’s license required).

Role Objectives

  • Managing CAIR’s annual events calendar, flagship CAIR programs, and annual gala
  • Delivering CAIR-SFBA public educations programs, interactive workshops, training sessions, and forums
  • Promoting and strengthening volunteer and intern engagement

Duties and Responsibilities

Programs

  • Ensuring meticulous attention to detail in all aspects of program execution, from initial planning stages to post-event analysis. This includes monitoring of program timelines, building budgets, and quality of deliverables.
  • Developing and implementing problem-solving strategies to address challenges in program coordination and execution. This requires proactive identification of potential issues and the ability to devise effective, creative solutions in a timely manner.
  • Conducting thorough reviews and evaluations of all programs and events to identify areas for improvement, ensuring that lessons learned are applied in future initiatives.
  • Maintaining accurate and detailed records of all activities, communications, and transactions, ensuring compliance with organizational standards and legal requirements.
  • Collaborating closely with the Operations Manager to streamline processes and enhance efficiency, demonstrating a keen eye for operational details and potential optimizations.
  • Regularly assessing the effectiveness of marketing and outreach efforts, using detailed data analysis to inform and adjust strategies for maximum impact.

Annual Events

  • Delivering and updating a comprehensive CAIR-SFBA-wide events calendar on a six-month rolling basis, while establishing quality controls and incorporating feedback from post-event surveys.
  • Coordinating as the primary contact for the strategy, promotion, planning, and execution of CAIR-SFBA programs across various departments, including legal, development, advocacy, and communications. Responsibilities include managing logistics such as venue, food and beverage, and travel arrangements.
  • Supporting the annual gala in collaboration with Communications, Operations, and Executive staff. Responsibilities include managing sponsorships, catering, volunteer coordination, and overseeing the silent auction.
  • Owning, end-to-end, CAIR-SFBA’s flagship programs such as Bystander Intervention Trainings, Muslim Gamechangers Network, Muslim Day at the Capitol, and Muslim Youth Leadership Program.

Volunteer & Internship Programs

  • Managing internships, serving as the primary contact for all aspects including recruitment, training, supervision, and scheduling.
  • Overseeing volunteer management, including recruitment, training, supervision, and scheduling, and acting as the primary point of contact in this domain.
  • Building and maintaining relationships with volunteers and community activists, managing the volunteer database, and organizing teams for various engagement activities.

Management

  • Representing and speaking on behalf of CAIR-SFBA at meetings, events, and activities of partner and ally groups or organizations as required.
  • Developing, revising, and updating training program slides, department guides, and manuals.
  • Managing general speaking requests and assigning responsibilities across departments.
  • Participating in CAIR-SFBA’s Management Team, including attending regular meetings, providing advice to executives, and facilitating the achievement of organizational goals.

Other duties as assigned, dependent on organizational needs and employee skills. All CAIR staff are required to assist in general duties such as answering phones, weekly outreach, fundraising, and other office tasks.

Skills and Qualifications

Required Qualifications

  • Strong written and verbal communication skills, including compassionate communication, cultural sensitivity, problem-solving, public speaking, and asking for help when needed.
  • Bachelor’s degree and/or four or more years’ relevant work experience including at minimum one-year managing staff and volunteers.
  • Strong interpersonal skills both in person, by phone, and on virtual platforms to interface and collaborate with staff, community leaders, volunteers, and donors with professionalism and a willingness to learn from others through hearing different perspectives.
  • Strong time management, including being intentional about planning ahead based on goals and desired outcomes; ability to prioritize projects and tasks among competing deadlines.
  • Working knowledge of Microsoft Office, and virtual and social media platforms.
  • Commitment to social justice and CAIR’s mission and values.
  • Familiarity, knowledge, and experience working with the American Muslim community.
  • Flexibility to adjust and contribute to continually evolving work situations and changing priorities.

Preferred Qualifications

  • Experience working in Adobe Acrobat, Asana, Canva, Constant Contact, and WordPress
  • Experience working with non-profit organizations
  • Strong organizational skills and the ability to manage multiple ongoing initiatives
  • Conversational proficiency in Arabic, Dari, or Urdu

Compensation

  • Compensation in the range of $85,479-$96,153/annually, commensurate with experience
  • Fully paid Kaiser Health Insurance and Blue Cross PPO Dental Plan for employee and dependents
